Here's a guide on how to use all the features of ClaimZap.

Getting Started

ClaimZap is a simple way to instantly transmit electronic claims and remittance files between Jane App and Office Ally accounts. Setup is a one-time process that takes less than 5 minutes. After registering for your account, we need to obtain our Office Ally SFTP login information, install our browser extension, and create your first Zap.

Getting SFTP Details from Office Ally

One thing we need before we can start zapping is our Office Ally SFTP login details. This is not the same as your Service Center login! If you don't have this information, you can get it from Office Ally support. We make this process easy from within your ClaimZap dashboard and we can send a request on your behalf. If you'd like to get this information from Office Ally support, the following information should be emailed to [email protected]:

  • Office Ally Username
  • Contact Name
  • Contact Email
  • Software Name: ClaimZap
  • Form Type Submitted: HCFA

They should reply with your SFTP username (usually the same as your Office Ally username) and SFTP password. This password is different than your service center password and is only used for SFTP login. We will need the SFTP username and password to connect your Jane App account to your Office Ally account.

Install the Browser Extension

ClaimZap works as a browser extension. You simply install our app in your normal web browser. The extension is available on our download page and can be installed in Mozilla Firefox, Google Chrome, or Microsoft Edge web browsers. This extension inserts the ClaimZap button into your Jane App account billing page and sends your claims and remittance data to and from your Office Ally account. Once the ClaimZap browser extension is installed, you'll need to login to your account from the extension to begin using ClaimZap.

Customize Your Extension

Open the extension preferences for different button styles.

Create Your First Zap

Creating your first Zap is easy. You simply click the Zap Settings button in your ClaimZap account and click Create Zap. You'll be asked to enter a name/title for the Zap (optional), your Jane domain (the part of your Jane website between the https:// and the .janeapp.com), as well as your Office Ally SFTP username and password that was requested from Office Ally support.

The different subscription tiers allow for a certain number of Zaps. The Solo Plan allows just one Zap, the Multi Plan allows two Zaps, and the Professional Plan allows unlimited zaps. If you're on the Solo or Multi plan, you will not be permitted to create additional Zaps after you have reached your limit. If you've reached your limit, you can upgrade to increase your Zap limit at any time.

Editing Zaps

After a Zap has been created, it can be edited. Perhaps you want to rename it, or you changed your password. Simply click the Edit button next to the Zap and the edit form will appear. Click Save Changes and the update will immediately take effect.

Deleting Zaps

Zaps can be deleted at any time. A confirmation will appear before the Zap is deleted to prevent accidental deletion. Beware deleting Zaps that are being using by you or other team members as this will disable their ability to use ClaimZap for that particular Jane App/Office Ally account. Deleting a Zap is permanent and cannot be undone, however you can create a new Zap with the same settings as the deleted Zap in the future.

Upload Claims

To use ClaimZap to upload claims directly from Jane to Office Ally, you simply follow the exact same steps as you normally do, with one final exception:

  1. Select all claims you would like to submit from the Draft or Unsubmitted folder.
  2. Click the Submit Selected Claims button.
  3. If claims do not contain errors, the review summary should indicate claims are ready for submission. Click the Generate Submission for Claims button.
  4. Now, instead of clicking the Download 837p EDI File button, you will see a new button in the center that says Zap to OfficeAlly or Upload to Office Ally. Click this instead.

That's it! Your claims should instantly upload to Office Ally servers. Office Ally typically will send the account owner an email to let them know that the claims have been uploaded. Even though the claims are already uploaded, Office Ally only periodically processes them to send to the insurance company, so the email may take up to a few hours to be sent.

Download Remittances

Downloading remittances is even easier than uploading claims. Simply go to your Remittances folder from your Jane App billing page, and you should see a button that says Zap from Office Ally or Import From OfficeAlly. Click this button and any new remittances on your Office Ally account that have not yet been uploaded to Jane will be instantly imported. If you do not currently use the Electronic Remittance Advice feature in Office Ally, this is an extremely convenient way to post Explanation of Benefits and you should contact Office Ally to configure that process. If this is your first time using the Electronic Remittance Advice feature, this process will require downloading a lot of files, so please be patient as it may take up to two minutes to complete. Create API Keys

You can think of API keys as like a digital access badge to your account. It allows you to share ClaimZap functionality with staff, teammates, or billing companies without actually giving them your username and password. People with API key access can upload claims and download remittances, but they cannot log into your ClaimZap account, change settings, or create/edit/delete Zaps. You can create as many API keys as you would like so that you can individually grant or revoke access to different members of your team.

API keys are sensitive information and should be protected just like a password. Unauthorized access to an API key can allow someone to submit claims or download remittances for your account. Any stolen or leaked API keys should be immediately deleted from your account and team members using that API key can be reissued a new one.

To create an API key, log into your ClaimZap account and click your name in the bottom left corner of the menu, then select Settings. Then select API Keys. In the textbox you can give a name or description to the API key, such as the name of the person it is being issued to. Click the Create New Key button. A new API key will be created and displayed in the table below. You can copy the API key to share with the person you are issuing it to. Again, this is sensitive information and should be protected just like a password.

Delete API Keys

After creating an API key, you can delete it at any time. To delete an API key, click the Delete button next to the API key you would like to delete. A confirmation will appear before the API key is deleted. You should delete any API keys that are no longer needed or that have been compromised. If a staff member has been granted access to your account using an API key, you should immediately revoke that access if they are no longer employed by your company. If you use a billing company and allow them to use your account via an API key, you should immediately revoke that access if they are no longer contracted with your company.

Update Subscription Plan

You can update your subscription plan at any time. Log into your ClaimZap account and click your name in the bottom left corner of the menu, then click Upgrade. If you are already on your Settings page in your account, click Subscription under the Billing menu. Then, click the Manage Subscription button and you will be taken to the Stripe billing page, our payment processor, where you can select the plan of your choice. Each plan is allotted a different amount of Zaps. Our current plans allow the following resources:

  • Solo: One (1) Zap connection between a Jane App account and an Office Ally account
  • Multi: Two (2) Zap connections between Jane App and Office Ally accounts.
  • Professional: This plan allows you to create as many connections, or "Zaps" as you'd like.

Important warning: When you change your subscription plan, the amount of Zaps in your account takes effect immediately. That means that if you are downgrading your subscription and have more Zaps in your account than your plan allows, the extra Zaps will be instantly, permanently, and irreversibly deleted. Only the oldest permitted number of Zaps will be preserved (meaning the newest Zaps over the limit will be removed). It is your responsibility to manage your resources and remove extra Zaps so you don't lose important data.

If upgrading your subscription, you will be charged the difference prorated for how much time is remaining in the billing cycle (monthly or annual) at the time of upgrade. If downgrading your subscription, you account will be credited the difference towards your next billing cycle payment.

Cancel Subscription

You can cancel your subscription at any time. You will retain access for the remainder of your subscription cycle and will not be billed again. After your subscription cycle ends, your Zap data will be permanently, and irreversibly deleted. We do not immediately cancel the subscription or prorate your subscription period.
